Changing your building manager: preparing an organised handover

A practical checklist for gathering building records and identifying open matters before a new management arrangement starts.

A change in building management is a good opportunity to organise records and make outstanding responsibilities visible. The incoming provider needs to understand both the documents and the current position of the building. Preparing this information early helps the committee avoid repeated requests and confusion about which issues are still open.

This guide concerns practical preparation. The committee should separately check the relevant building arrangements and the terms of existing agreements before fixing the transition date. A checklist cannot determine contractual notice requirements or the authority to make decisions for every building.

Agree the scope and the people involved

Identify the committee representative who will coordinate the handover and the contacts for the outgoing and incoming arrangements. Agree a target date and a list of materials to be exchanged. State which responsibilities the new provider is expected to take over and which remain with the committee or an existing supplier.

Keep one shared list for the transition. Each item can have a responsible person, a status and a note about any missing information. An organised record helps people distinguish a document that has been requested from one that has actually been received and checked.

Gather building and supplier records

Collect the available building information, contact details, maintenance schedules, supplier agreements and records of previous work. The incoming manager should be able to identify who currently handles each facility and where relevant documentation is held. Only share personal information with the people authorised to receive it.

Establish the financial starting position

Identify the last completed reporting period and collect the associated statements, invoices and payment records. Keep confirmed balances separate from amounts that require clarification. The committee and incoming provider should know which invoices remain unpaid, which owner payments are awaiting allocation and which questions have not been resolved.

For example, an outstanding supplier invoice may refer to work completed before the change. Record its reference, the available approval and the current position rather than leaving the issue as a verbal note. List open maintenance requests

Document unfinished work with the location, reported problem, latest action and next step. Include the contact handling the matter and any quotation already obtained. A photograph or inspection report can provide context, but it should not replace a description of what remains to be decided.

Record who will follow each matter after the transition. This avoids assuming that a request has been transferred simply because a general file was shared. The first review with the incoming provider can confirm which items are ready for action and which need further assessment.

Confirm receipt and explain the next steps

Use the checklist to record which materials were received, which need checking and which are still missing. Keep this confirmation with the building's records. Owners also need a clear update about the new contact arrangements and where to send routine requests from the agreed date.
