Living abroad changes how an owner follows the day-to-day condition of a property in Cyprus. You may not be able to visit when a tenant reports a problem or when maintenance needs attention. A management arrangement should therefore make responsibilities, updates and approval procedures clear from the beginning.
Start by describing how the property is used. An occupied rental apartment, a holiday villa and a home left empty for part of the year have different needs. The right discussion concerns the actual property and your expectations, including who is already looking after it and what information you want to receive.
Define the responsibilities you want help with
List the tasks for which you need local support. These may include communication with tenants, rent collection, inspections, key holding or coordination of repairs. Specify which responsibilities are included in the proposed service and which work requires a separate agreement.

Establish how maintenance is approved
Agree how assessments, quotations and approvals will be handled. The provider should know when it needs your decision and how the approval will be recorded. Discuss the process for matters requiring prompt attention within the actual service arrangement, without assuming unlimited authority or a response time that has not been agreed.
For example, a tenant might report a leaking fitting. The update should identify the issue, the assessment available and the action being proposed. Property maintenance and repairs can then be discussed around the relevant scope, with a record of the approved work and its completion.
Make inspections useful to your decisions
Ask what an agreed property visit will cover and how the findings will be reported. Check the arrangements for access, keys and who will attend if a contractor needs entry. The inspection schedule should match the property's use and the agreed service, rather than a generic frequency.

Keep rental and financial information understandable
For a rental property, clarify how received rent, outstanding matters and approved expenses will be recorded and shared. Know who communicates with the tenant and how questions are escalated to you. Keep contractual or specialist matters separate from routine administration so that each issue reaches the appropriate person.
